Job Purpose

The HR Services Specialist will lead a comprehensive audit of all employee separations conducted over the last ten (10) years. The role is responsible for assessing compliance with applicable labor laws, company policies, contractual obligations, payroll requirements, benefits administration, and employee documentation standards.

The Specialist will identify gaps, inconsistencies, and potential legal or financial risks arising from historical separation cases and will recommend and support the implementation of corrective actions to strengthen the organization's compliance framework, governance standards, and employee lifecycle processes. Key Responsibilities

Employee Separation Audit

•        Conduct a detailed review of all employee separation cases (resignations, dismissals, redundancies, retirements, end-of-contract separations, mutual separations, and other termination types) over the past ten years.

•        Examine employee files and supporting documentation to verify compliance with internal policies and statutory requirements.

•        Assess the completeness and accuracy of separation records, including approvals, notices, settlement agreements, exit documentation, and final payments.

•        Validate compliance with applicable labor legislation, collective agreements, and employment contracts.

Compliance and Risk Assessment

•        Identify historical and current compliance gaps related to employee separations.

•        Assess potential exposure to legal claims, labor disputes, regulatory penalties, or financial liabilities.

•        Evaluate adherence to record-keeping, documentation, payroll, tax, pension, social security, and benefit administration requirements.

•        Develop a risk register categorizing identified issues by severity, likelihood, and business impact.

Investigation and Case Analysis

•        Review complex or high-risk separation cases and provide recommendations for remediation.

•        Coordinate with Legal, Payroll, Finance, Internal Audit, and relevant business stakeholders to validate findings.

•        Analyze recurring trends and root causes contributing to compliance risks.

•        Ensure confidentiality and secure handling of sensitive employee information.

Reporting and Recommendations

•        Prepare comprehensive audit reports outlining findings, risk exposure, and compliance status.

•        Present audit outcomes and recommendations to HR leadership and senior management.

•        Develop actionable remediation plans with clear timelines, ownership, and measurable outcomes.

•        Provide periodic progress updates throughout the audit engagement.

Process Improvement and Governance

•        Review and update employee separation processes, procedures, templates, and controls.

•        Recommend enhancements to HR governance and compliance monitoring mechanisms.

•        Develop standardized separation checklists and documentation requirements.

•        Support the implementation of corrective actions and sustainable compliance controls.

•        Contribute to training HR teams and managers on separation-related compliance obligations and best practices.

Qualifications and Experience

Education

•        Bachelor's degree in Human Resources, Business Administration, Law, or a related field.

Experience

•        Minimum 3 years of experience in HR Operations, HR Services, Employee Relations, Internal Audit, or Labor Law.

•        Proven experience conducting HR audits, compliance reviews, or employee relations investigations.

•        Strong understanding of labor law, employment regulations, and employee lifecycle management.

•        Experience working with confidential personnel records and legal documentation.

Knowledge and Skills

•        Strong knowledge of employment legislation and HR compliance requirements.

•        Excellent analytical and investigative skills.

•        Ability to identify compliance risks and develop practical mitigation strategies.

•        Strong report-writing and presentation skills.

•        High attention to detail and accuracy.

•        Advanced proficiency in Microsoft Excel, HR Information Systems (HRIS), and data analysis tools.

•        Strong stakeholder management and communication skills.

•        Ability to manage large volumes of historical data and documentation.

Key Deliverables

The successful candidate will deliver:

1.      A comprehensive audit of all employee separation cases from the previous ten years.

2.      A detailed compliance assessment report.

3.      A litigation and legal risk exposure analysis.

4.      A separation process gap analysis and control assessment.

5.      A corrective action plan with prioritization and implementation roadmap.

6.      Updated separation policies, procedures, and compliance controls.

7.      Final executive report summarizing findings, risks, recommendations, and progress on remediation actions.

Success Measures

•        Completion of the separation audit within agreed timelines.

•        Identification and mitigation of compliance and litigation risks.

•        Reduction of legal and regulatory exposure.

•        Improved quality and completeness of employee separation documentation.

•        Implementation of strengthened HR controls and governance processes.
